SUBJECT: Award Bid — Utility and Survey Van (2 Vehicles)
MEETING DATE: December 20, 2004
BACKGROUND: The current budget includes an appropriation of 31,000,00 for the purchase of two
cargo vans to replace the water meter installer's van and the surveyor's van. Bids were solicited from
local vendors and also through the State fleet purchase program_ Three bids were obtained locally along
with the State program. bid. The bid results and recommendation is attached for your information. The
State fleet purchase bid is $556.15 per vehicle ($1,132.30 total) less than the nearest local bid submitted
by Eisinger Motors of Kalispell. Staff recommends acceptance of the State fleet purchase bid submitted
by Grimes Motors of Helena.
RECOMMENDATION: Award bid to supply two cargo vans to Grimes Motors of Helena.
ACTION REQUESTED: AT CITYCOtWCIL MEETING OFDECEMBER 24, A MOTION TO
AWARD THE BID FOR TWO CARGO VANS TO GRIMES MOTORS OFHELENA, MONTANA.
FISCAL EFFECTS: Expenditure of funds totaling $27,796.00, an amount that is $3204,00 less than is
budgeted in FY 200412005_

Re: Bids for Utility Vans
Included in the 2004/05 budget is an appropriation of $31,000 for the purchase of
two utility vans. The vans will replace the Public Work's survey van and the Water
Department's meter maintenance van. Bids were received from three focal
dealerships and from the State's motor vehicle contract. Below please find a
surnmary of those bids:
