REPORT TO: Mayor Tammi Fisher and City Council

Jane Howington, City Manager
SUBJECT: Award Bid -- Rugged Mobile Data Terminals
MEETING DATE: October 4, 2010
BACKGROUND: Two bids for ten (10) mobile data terminals were received on September
25 from CDW-G and PCS Mobile. The mobile data terminals are being paid for with a
Homeland Security, Assistance to Firefighters Grant, and will be used in the city fire trucks and
ambulances for mobile fire application. The application contains the call information, mapping to
the location, pre -fire plan, and information from previous inspections. The call information will
be generated by the dispatchers at the Flathead 911 Emergency Communications Center.
Low bid was submitted by PCS Mobile for an amount of $42,3 10. Unfortunately, PCS Mobile's
bid was not responsive as it did not include a bid bond as required. CDW-G submitted a bid of
$46,560. The cost difference is attributed to the addition of GPS with the CDW-G terminals, a
feature preferred by the Fire Department, but not required and a higher computer processor
speed.
RECOMMENDATION: Staff is recommending the city council award the bid for ten (10)
rugged mobile data terminals for CDW--G in the amount of $46,560.
Respectively submitted,
IT Director
