licensing executives have the experience necessary to understand what needs to be done, from
renewal opportunity management, program cost comparisons, and forecasting to the
operational aspects.
Starting with Microsoft renewal planning, SHI helps build the framework to support your
organizational goals and optimize benefits. As an experienced Microsoft partner, we understand
the big picture and can deliver unified and consistent planning. Our renewal planning process
can include a kick-off meeting, strategy discussion, evaluation cycle, contract review and
execution, and agreement submission. Your licensing executive works with you throughout the
renewal process.
Timing is everything when planning and optimizing a customer's renewal. Ideally, our sales
teams engage customers 18 months before enterprise agreement expiration to help them
budget for their upcoming renewal costs, including any additional requirements.
SHI does not have any issues with providing services to Flathead County. Should any issues
arise, SHI has an established escalation policy. Additionally, SHI offers dedicated resources
focused solely on Microsoft products. An extension of your account team, your SHI Microsoft

Our detailed renewal process is a four -step plan built on a 12-month timeline.
Step 1 Lay the groundwork (T-12):
At 12 months out, SHI assembles a team from Microsoft, SHI, and the customer to clearly
define roles and responsibilities, minimizing confusion throughout the process. We review
existing entitlements against usage to build an accurate view of the current situation and
highlight any additional benefits available. We establish a detailed timeline and identify key
milestones to ensure a smooth and successful renewal. To facilitate legal review, we provide
the contractual agreement well in advance and collaborate with Microsoft to promptly address
any concerns or questions.
Step 2 Strategize (T-12 to T-9):
SHI helps the customer reconcile their current state and options against their planned IT
initiatives and priorities. We collaborate with key stakeholders within the customer's organization
to anticipate their Microsoft requirements over the next two to three years, ensuring future cloud,
collaboration, and security needs are considered. SHI models different options that meet the
customer's business requirements and provides financial analysis to support informed decision -
making and effective budgeting for the upcoming renewal.
Step 3 Structure (T9-T6):
SHI helps the customer evaluate the identified options and structure an agreement that fulfills
the customer's requirements within the framework of the enterprise agreement program. SHI
analyzes the terms and conditions of the upcoming agreement to ensure customers understand
} the implications of any changes, helping to prevent surprises, compliance issues, or unplanned
expenditures. We conduct a final analysis of the financial costs to ensure changes from
previous steps are accurately reflected in Microsoft's latest draft proposal. We remind
customers to begin the True -up inventory review and validation process 120 days before
renewal.
Step 4 Finalize (T3-TO):
When renewing or entering into a new agreement, it is essential to close out the existing
agreement with no remaining contractual obligations, compliance risks, or unaccounted costs.
SHI ensures the final True -up and online services license reservations are completed, and
purchase orders or zero True -up forms are submitted. We update the Microsoft sales teams so
they can adjust their proposals if necessary. Once Microsoft issues a final proposal, SHI
thoroughly reviews it to ensure it matches the customer's agreed requirements regarding
entitlements, today's costs, and future True -up costs.

Microsoft does provide employee -staffed technical support 24/7/365, particularly through its
Unified Support offerings. The Unified Support model includes round-the-clock helpdesk access,
case management, and escalation services for customers with active Unified, Premier, or
Advanced Support for Partners (AsFP) agreements. This support is staffed by Microsoft
engineers and includes mechanisms for real-time assistance on active cases, regardless of
severity, via dedicated channels such as the 24x7 Case Management team
Training
Microsoft provides a comprehensive range of training options that meet the criteria you've
outlined:
1. Online Training Accessible 24/7 Without Human/Vendor Intervention
Microsoft offers self -paced, on -demand training through platforms like Microsoft Learn, Viva
Learning, and the Security Skilling Hub. These resources include video -based modules,
interactive labs, and guided learning paths that users can access anytime without requiring live
instructors or vendor involvement. For example, Viva Learning integrates content from
Microsoft, Linkedln Learning, and other providers directly into Microsoft Teams and the web,

2. Onsite Training
Microsoft also supports onsite training through programs like Unified Support and FastTrack,

customer needs. These are often coordinated through account teams or proactive support
credits.
3. On -Demand Video Training Library
Microsoft maintains extensive libraries of on -demand video training, such as the Microsoft
Virtual Training Days, Microsoft Shows, and Secure Al Training Modules. These cover a wide
range of topics including Azure, Microsoft 365, Copilot, Sentinel, and Purview, and are designed

TERMS AND CONDITIONS DISCLOSURE
SHI's standard proposal validity is 30 days from date of submission. Should a contract be awarded to SHI
as a result of this response, SHI will hold firm pricing for the proposed solution for 30 days from the date
of award. As a reseller, we are dependent on pricing set by manufacturers which can be subject to
1 fluctuation given unpredictable market conditions, possible supply chain changes or constraints, or other
factors beyond SHI's control.
SHI is responding to this RFP under the terms of Contract #: 121923-SHI. The terms of Contract #:
121923-SHI will supersede the terms and conditions of the RFP.
Reseller Terms
For the proposed solution, SHI is acting strictly as a reseller/billing agent. The third -party IT services
proposed in this bid shall be provided by third parties and you (customer) acknowledge that SHI shall
have no liability to you for such third -party IT services beyond the processing of invoices and payment
therefore. All terms and conditions governing the proposed services will be between you and the third -
party services provider.
Payment Terms
SHI's standard approach to payment terms with each of our valued customers is Net 30 days from the
date of invoice.
