Also, we have a contractor's license from MT as show up in section 3.3.1 3.3.4 CONTRACT UNDERSTANDING & APPROACH a) Our understanding of the SOW is to get all the AV upgraded to HD/Digital along with keeping some of the original equipment that is still in good working order. Also, to upgrade the broadcast system so that it integrates better with the Commission recording software and Zoom. AVI has extensive experience in these types of solutions in the same environment as council chambers. All of these spaces are fairly similar, but we have been able to adapt and customize to the client's vision. b) NO issues as we do this all the time throughout the state of MT. There are issues in obtaining certain pieces of equipment these days and this keeps changing. As long as you are patient with the manufacturers and AVI this won't be an issue. Also, onsite service calls don't happen immediately. c) Regarding the equipment, this is changing constantly and some of these manufacturers are working and have come up with alternatives. If the City of Kalispell is interested in pursuing these after the contract is awarded, we can do that. Also, regarding service, we recommend that we have remote access to the broadcast and AV systems so that we can have an immediate productive response. In our experience most issues are with electronic issues and usually a restart in the right order of the equipment will fix the issue as well as there can be Human error with operation with a complex system as well. 8 1,41 3.3.5 APPROACH TO CONTRACT MANAGEMENT a) AVI has worked with many state, county and city governments and have worked with all of them to accommodate their contractual needs. Once we get the award and have reviewed the City's contract language and agree along with doing a customer application with the City, I will book the project in our system and a Project Manager will be selected. At that point we will set up a kickoff call with the City to discuss the project and timeline, ordering of equipment, and an engineer will start working on submittals. The Project Manager and you will be close throughout all this. If needed weekly, biweekly or monthly meetings will be scheduled to discuss updates. b) AVI uses Q360 ERP solution for project management. This is our quoting tool as well. This system allows for us to track the shipping of equipment regularly, it also tracks our installers, engineers, programmers time so that our AP/AR dept can easily create and track invoicing. This is system also logs all serial numbers of all equipment purchased for the project. c) Same as 3.3.3 (b) AVI's personnel have many certifications and a staff that does the training in our training center in Minneapolis. Some of those certifications are, CTS, CTS -I and CTS -D — Info COMM standard, PMP — Project Mgmt., CAPM — Certified Associate in PM just to name a few. The purpose of this knowledge transfer is to provide operators with the necessary knowledge to confidently and comfortably operate all aspects of the integrated system.
