King, Teri Iwerson, Carrie Nelson, Brit Clark (Museum Director), Natalie Robinson (Conrad family
member), and Sydney Pitcher (guest).
2. Approval of minutes- Minutes approved.
3. Treasurer's Report (Everit)
• Everit reviewed the financial statements. Cash balance is looking good. Tour income is
up. The Bibler Foundation donation was made in September with approval to use at
board discretion.
• Discussed the Uniform Prudent Management of Institutional Funds Act which was
previously revised and adopted by the State of Montana. This will change how the
endowment is broken down in terms of discretionary and non -discretionary funds from
endowment income. Mark S. will elaborate.
4. Finance Committee (Mark)
• Everit has agreed to formulate an endowment spending policy to provide better
direction.
• In order to keep the historic balance in proportion with today's prices, a proposed
increase by the CPI (Consumer Price Index) will keep contributions at current dollars.
The historical value (original contribution) remains untouched.
• This could free up funds and allow greater flexibility. Funds do not have to be spent.
• Mark has contacted Rob Braig at D.A.Davidson to discuss the potential of providing a
retirement (403b) program for qualified employees (Brit, Robert & Joni). More
information is still needed.
• End of Season Bonuses-
i. A $5,000 end of season bonus was approved for Brit. (Mark S. moved. Everit
seconded, all in favor)
ii. Brit will consult with the finance committee about the amount for the rest of
employees for end of season bonuses. Bonuses will be given as End of Season
instead of Christmas bonuses like previous years.
5. Marketing Committee (Diane M.)
• The brick project crew will meet next week.
• The Board approved applying funds from the Bibler Foundation donation toward the
Mansion Boiler replacement.
6. Maintenance Committee (Mark)
• Boiler replacement is not a small project. There will be two smaller boilers instead of
one large one. This will increase efficiency and also provide redundancy. If one boiler
were ever to fail, there would still be another one to carry the load.
• An energy audit from NW Energy is recommended first.
• Quotes will be obtained from several local businesses.
7. Collections Committee (Chris)
• He has an elderly relative in California who wants to donate Conrad items to the
Mansion. A donor appraisal will be required.
8. Museum Director's Report:
• Local's Day went well. The Mansion was the first stop for most people, so our
attendance was a bit higher than the other museums.
• Ghost Tour tickets are sold out. The Mansion has all of the volunteers needed. A few
spaces have been reserved desperate last minute situations. Call the Mansion direct for
those cases.
• Halloween- The Mansion will hand out candy for trick or treaters. No extra volunteers
needed. Candy has been donated.
• Teas & Tours- Brit confirmed that the Conrad dining table will not be used. Teas ad
Tours dates will be determined.
• Self -guided Tour App- Brian Smith, a programmer, is volunteering his services in
designing an app for self -guided tours. He read and enjoyed Half Interest in a Silver
Dollar. The app will hopefully debut this winter. Brian's wife is involved with Code Girls
United.
• Donation- Walter Roundtree and Laura Reynolds have made donations to Mansion.
Family lived on 51" Ave. Laura's mother Marilyn Moore volunteered in the gardens.
• Annual Ask- will be sent out this month.
• End of Season- It was a good season, and staff is happy to take a tour break in
November. They will focus on cleaning and decorating for Christmas. Mary Pat
suggested a "tree unveiling" lighting ceremony as an idea for next year.
9. Meeting Adjourned- 4:45 pm.
10. Next Meeting- Nov. 16, 2021.
