02-16-21 Conrad Mansion Board of Directors MinutesConrad Mansion Museum Board of Directors Meeting Feb 16, 2021, 4:00 via Zoom WELCOME: Members present: Mark Schickendantz, Beth Collier, Everit Sliter, Jessica Treweek, Diane Medler, Mary Pat Murphy, Diane Morton Stout, Teri Iwerson, Sue Corrigan, Katharine King, Carrie Nelson, and Brit Clark • A warm welcome to new Mansion board member, Diane Morton Stout! • January minutes approved. TREASURER'S REPORT (Everit): • The Mansion has a new PPP (Payroll Protection Program) for $21,500 this year to cover payroll and utilities, which like last year is forgivable when program requirements are met. • The endowment fund has been doing very well. It was up around $900,000 as of last Friday. It was $852,000 at the end of the previous month. • The budget committee worked on the budget to accommodate proposed changes including raises for employees and the advertising budget which came in higher than the 2% increase originally projected. • Budget will be finalized and ready for the Board to vote on it in March. MUSEUM DIRECTOR'S REPORT (Brit): • The Comfy Quilt Show (Feb. 12-14) made $860 from raffle tickets and gift shop proceeds. Thanks to Chare and Sharon for their volunteer work on this project. This was the first year for the quilt show and the Mansion proved to be a nice venue for displaying the quilts. • May 15t" is kick off date for the new tour season. The Mansion will make the day special and promote tours. • Events/Special Tours for 2021 will include: Teas &Tours, Father's Day tour (new), 4t" of July, Stories in Stone (new), Ghost Tours, and Christmas events. • The Wiring safety project will be divided into smaller increments and submitted for the Round Up for Safety grant program. • Brit has continued working on the University of Mont. Non -Profit Certification program and will finish a year from now. Brit would like to partner with the Conrad Cemetery. • The Gift Shop is no longer doing consignments. • Private Weddings and Events o Brit would like to update current contract and submitted a sample "Contract for Private Weddings or Events" contract for review. o Based on input from Diane and Dawn Jackson at the Visitor's Bureau, the trend in valley events is to engage the participants more with the venue. For the Mansion weddings, this could include options for open house tours, interior photo shoots, and a bridal changing room for additional fee. o Chris Vick voiced concern about the combination of alcohol and events in the house and emphasized the need to keep our bright lines to protect the historic character of the house. More review is needed regarding contract language. o There is an inquiry for a small (30 people) ceremony inside the house. o Discussion about expectations for events and limitations to protect the house followed. • Governor has lifted Covid Mask Mandate but businesses can still require it. Board members opted to retain wearing masks at the Mansion. The Hockaday and Central School are keeping the mask requirement as well. • The Mansion has established a 2021 Schedule at their staff meeting. o Open Tues-Sun. ■ Docent tours at 11:00 & 1:00 (can add 3:00 tour if needed) ■ Self -guided tours from 2:00-6:00. o There will always be a minimum of 2 staff people at the house to ensure safety and security for the house. o This is subject to change as needed. COMMITTTEE REPORTS: Finance and Budget (Mark S.): • The finance committee discussed the need to increase staff salaries and recommended a $2 hour raise for Robert and Joani (increase from $16-$18) and a $5,000/year raise for Brit ($35,000-$40,000). o Chris made a motion to implement a $2/hour raise for Robert and Joani and a $5,000/year raise for Brit. Carrie seconded. All members in favor. o Everit mad a motion to make the raise retro-active to Jan 1, 2021. Mary Pat seconded. All members in favor. • Tour prices were discussed and accepted in Jan. (2021 Rates: $20 Guided Adult, $18 Guided Senior, $15 flat rate for self -guided tours, $22 Specialty Seasonal Guided tours, and ($10/$8 Sponsored Teens and Children). Room Sponsorship: • Beth and Teri met to reach out to sponsors. Chris Vick will sponsor the Violet Room and Mary Meister will sponsor the Ante Room. See Brit's list for other sponsored rooms. Education: • Jessica and Brit met to discuss Sponsor a Students Tour and will reach out to some local companies. Share if you have any leads.
